For a technology dependent venue, practical completion and operational readiness can happen at different times. Installed equipment still needs to work with the people, processes and support arrangements that will keep the facility running.
The handover plan should therefore start while the project is being defined. Leaving it until the end can expose missing information when the operations team has little time to respond.
Define what operations needs to accept
Identify the systems and services that must be supported from day one. These might include connectivity, building systems, access controls, communications or customer facing technology, depending on the facility.
For each area, name the operational owner and agree the evidence required for acceptance. Technical specialists should define the applicable tests and safety requirements. Project management should coordinate the dependencies, records and decisions.
Test complete operating scenarios
A component test does not establish that the whole service works. Plan representative scenarios across connected systems and teams. Include routine use, faults, escalation and recovery where appropriate.
Document the results and distinguish defects that prevent acceptance from items that can be managed under an agreed plan. A broad statement that testing is complete provides little assurance without a record of what was tested.
Transfer knowledge and access
Check that support teams have the documentation, credentials through approved channels, supplier contacts and procedures they need. Confirm who responds outside normal working hours if the operating model requires it.
Microsoft guidance on preparing to go live offers a technology implementation reference for planning the transition into operation. Its product context differs from venue infrastructure, but the need to plan support ownership is relevant.
Make the handover decision explicit
Present the acceptance evidence, outstanding items, support arrangements and recommended next step to the authorized decision maker. Record any conditions of acceptance and who will close them.
JMB supports media and entertainment sector project delivery, including coordination of technology projects and operational transition. A clear handover gives the receiving team a usable starting point for running the facility.
