A family office may oversee several different initiatives at once, with responsibilities spread across advisers, suppliers and internal staff. The challenge is to maintain a clear picture of delivery while protecting decision makers from avoidable detail.
Project oversight can remain proportionate. The aim is to establish who owns each initiative, what has been committed and when a decision is required.
Define the mandate for each initiative
Record the purpose, scope, approved commitments and expected outputs. Identify the sponsor or authorized decision maker and the person coordinating the work.
Where an initiative crosses into investment, legal, tax or other specialist matters, establish the relevant professional responsibilities. Project coordination should make the interfaces clear rather than substitute for specialist judgment.
Create one view of commitments
Track the main milestones, dependencies and resource demands across initiatives. Include the time required from principals and senior staff, particularly where several projects rely on the same decisions.
The UK Government Project Delivery Functional Standard offers an external reference for governance and portfolio coordination. A private organization can select proportionate practices suited to its own mandate; the standard is not a UAE regulatory requirement.
Report exceptions and decisions
A concise report should show progress against agreed commitments, significant changes, unresolved issues and specific decisions. Attach detailed evidence only where it helps the recipient assess a matter.
Maintain a decision record so suppliers and advisers can work from the same agreed position. If confidential information is involved, use the organization’s approved access and communication arrangements.
Keep completion criteria visible
An initiative should have a defined point at which the receiving owner accepts the work. Include documentation, support arrangements and remaining actions in that handover.
Review whether reporting and meetings are supporting decisions. If a control generates work without improving visibility or accountability, simplify it while preserving the information the organization needs.
JMB supports structured project delivery and oversight, helping organizations coordinate responsibilities and make project commitments easier to assess.
